Over the past decade, online payments have become a core component of every business model - from paying suppliers via Bacs to collecting payments via Direct Debits (DD). However, as many companies have discovered, inaccurate bank account information can delay payments, create significant administrative overheads and undermine customer relationships.
For the children and young people's cancer charity CLIC Sargent, the adoption of ePay from payment and collection solutions provider Albany Software, has improved control over the Direct Debit process and slashed external costs, saving the organisation around £30,000 per year. The charity has also benefitted from increased accuracy throughout its organisation by being able to verify customer bank account and sort code details.
CLIC Sargent is the UK's leading cancer charity for children and young people. A not-for-profit organisation relying on the donations of the public, the charity provides clinical, practical, financial and emotional support to children and young people diagnosed with cancer and their families.
CLIC Sargent went live with ePay in January 2011, making the move from an outsourced Bureau service to managing collections and payments in-house. The solution provides the charity with greater control over cash flow and payments, allowing it to rely on a more accurate monthly income and improve savings.
Heather Doody, Support Relations Manager at CLIC Sargent comments, "As a charity, we continually look at where efficiencies and savings can be achieved and we instantly knew that transferring from an external bureau would be extremely cost-effective for the organisation. Overall we have seen savings of around £30,000 a year in outsourcing fees alone."
The charity has been working hard to increase Direct Debit donations since implementing ePay with over 13,500 Direct Debits now being made each month compared to the 9,500 before implementing the solution. ePay has made collecting the donations more cost effective and has given CLIC Sargent a lot more control over the payments process.
The expectation for a more cost-effective solution was something that pushed CLIC Sargent to look for an in-house payment system, giving more control over payments and use of donor details.
Doody explains, "The Albany solution has helped us to gain more control over all of our collections and payments. The reporting functionality of ePay also means that we have been able to tidy up the data and make it far more effective."
Doody continues, "Albany's solution has provided us with greater control that we didn't have before, allowing our collection of DDs to run all together more smoothly. Another benefit of the solution is that the data we now have on the system is much cleaner and it means we have a reliable picture of our regular monthly income."
CLIC Sargent receives virtually no funding from the government and relies on the donations of the general public to fund the charity. With Direct Debit collections increasingly at the heart of CLIC Sargent's fundraising activities, the charity is now taking advantage of a reliable solution that has made collecting donations a lot simpler and far more cost effective. The internal processes have been streamlined and this has enabled CLIC Sargent to focus its saved time on its fundraising activities.
